Describes the process for creating/editing client company records

To configure your clients, you must select "Clients" from the "System Management" menu. You will see a list of your clients when you access this page.

Create a new client

To create a new client record, click on "Create New Client" on the top left of the client list.

Edit an existing client

To edit the record for an existing client, locate the client in the list of clients. You can use the filters at the top of the client list to filter by client name, client code or cost centre. To use the filters, enter the value you wish to filter by in the filter box, and then click on the filter icon, and select "Contains".

Description

Client name

The name of your client (this will be visible in the user's timesheets and available in reports)

Client code

A unique code for your client. This could be a value from your project management software or from other systems.

Cost centre

A cost centre for which you want to allocate all time/expenses which charged for this client. You can override the cost centre for individual projects belonging to this client by setting the cost centre on the project, or even at the task level. You can group your reports by cost centre to allow you to view summaries to time/charges for each cost centre.

Category

The client category allows you to categorise the client in any manner you wish, for example by country or by sector. You can set up your client categories from the Settings->Lists page.

Address 1-3

The first 3 lines of the customer's address. These are only required if you use the client invoicing feature.

City

The client address city. This is only required if you use the client invoicing feature.

Post code

The client address postcode. This is only required if you use the client invoicing feature.

Client Invoice Footer

Use this to insert a custom client footer text which appears in any invoices for this client, directly above the generic footer text.

Accounting code

This is the code for which you identify the client in your accounting software. This is primary used for Sage exporting, but is also available in the system reports so you can use it for any other purpose (e.g. for your own accounting software or other systems for which you may import data from Timesheet Portal)

Default client rates

These are the default client charge rates. You can specify a default charge rate for each rate type available. Rate types can be configured from the Settings->Rates page. Rate types are assigned to each task when you create a task for a project belonging to that client.
You can manage rates on a finer level (e.g. per project for that client or for a particular employee working for that client) available from the Rates Management page.
