Describes how to create and edit projects

All configuration of projects and project can be done from the Tasks page, accessible from the System Management menu.

Create New Projects

To create a new project, click on Create New Project button. This will bring up a list of options for your new Project. Once you have filled in the fields, click on Create to create the new project record.

Edit an existing project

To edit an existing project, locate it in the list of projects, and click on the edit icon (the pencil). Once your changes are complete, click on Update.

Description

Task Name

A descriptive name for your project

Task Code

A unique code for your project. This is normally used if you want to identity the project with external systems. It can be left blank, but if populated, it must be unique. If you are planning on importing projects and updating them later on, you must ensure you supply the unique reference as this is how our system will recognise the specific project you are referring to in your import files

Category

A category to allow you to group your projects. To configure project categories, go to the Settings->Lists page. Categories make it useful to organise your projects, as you can filter projects by category on the project management page.

Client

If your account is setup for external and internal project, then this field will allow you to select which client the project is associated with.

Cost Centre

Cost Centre - If your business uses different cost centres for different projects, you can make use of this feature to allow you to monitor how much time/cost is being spent/made in your different cost centres. Remember that if the project client has a cost centre defined and a cost centre defined for the project, then the project cost centre will override the client one.

Project Manager

You may select one person to be set as the project manager. This person will have the ability to make changes to the project and its project, as well as assign employees to the project. If the project manager does not previously have access to manage all projects, then they will have access to the project administration page, however they will only see the projects for which they have been set as the manager.

Accounting Code

This is a code you can set up which matches the project code on your accounting software. The Sage export module can use this code to ensure your projects can be referenced directly from your accounting software

Visible to all users

Tick this option to allow employees to see this project and its project in the list of available items to add to a timesheet (or expense form). If you do not tick this option, you must manually assign the project of this project to your employees.

Start/End Dates

This is a useful feature which allows you to keep your administration pages tidy as you can easily filter out projects which have completed. It also makes it easier for your employees as they will not see project of a completed project in the list of available items to add to a timesheet / expense form.

Copy project from an existing project into this one

You can use this option to copy a set of project from another project into this one when you create it. You could for example set up a template project and set up a list of standard project which you can automatically add to your projects when you create them.
