How to create Onboarding Checklists for Employees

We’re very pleased to announce the brand-new onboarding checklists, enabling you to setup your own customisable checklist for Employees who login to their account for the first time. This checklist will dictate to your Employees, what information they need to fill out, as a new starter.

Help/Guide

1. To begin, head to the Settings Panel, then head to Employee and Onboarding.


2. Use the New Onboarding button to begin creating your first Onboarding flow. You’ll need to enter a title for this checklist (i.e. Ltd Company Checklist). Click New Workflow to create.

3. To begin, you can choose to enter a message for the Employees to see, explaining what this checklist is, or you can leave the default message as it is.

You then have 5 main tabs to navigate through (6 if Documents upload is enabled - step 5 explains how to setup Document upload). Each tab contains different sets of information that can be entered by the Employees. You will need to select which fields you want the Employees to see by using the checkbox to the left, you can also rename any fields using the Custom Caption text box, allowing for greater levels of flexibility, as well as being able to pick and choose which fields should be mandatory, allowing you to stay in-line with GDPR.

4. Once you’ve gone through the various tabs, ensure to save changes, then navigate to the Employment type mappings button. This feature will allow you to map a specific Onboarding profile to a Employee based on their employment type. So if you’ve created this checklist for limited company Employees, you can enable it to be available to all limited company Employees.

Upon switching a Employee’s employment type to Limited, either on setup or as an existing Employee, the relevant Onboarding profile will be assigned to the Employee.

5. You can also enable the document upload section and freely customise which types of documents you would want the Employees to upload by heading to Employees > Employee document upload types > New Record Type and tick ‘Allow Employees to upload’.

6. Below is a screenshot of a sample Onboarding checklist from the Employees' perspective. It is complete with various sections configured by the admin user and you will also notice within each section, there mandatory fields, indicated by the asterisks, also configured by the admin user.

This checklist promotes increased efficiency for the admin user and Employee, through time saved, by automating the Onboarding process, as well as ensuring a high level of consistency. And once the checklist is complete, the end user will have access to the account created by the admin user.
