Describes the process for setting up the Sage connector for exporting invoices into Sage

Importing Invoices to Sage 50

In order to export your invoices to Sage 50, you will first need to approve the invoices in Timesheet Portal. Once the invoices have been approved you can then use the Sage Connector and the steps below to export them into Sage 50.

Open the Sage Connector

If you are using multiple profiles, select the appropriate profile for the invoice export you would like to complete

Select the import type for the type of Import type you are completing such as client Invoices

Using the invoices between filter set the date range for the invoice period you are wanting to import

Click the Import Invoices button

A new window will now open with a list of available invoices ready for import. Anything highlighted in blue are the selected invoices and the invoices which will be imported in to Sage 50

Click Import to complete the import process

If you are exporting using cost centres, please follow the steps above, and make sure you are selecting the appropriate cost centre for your import.

Invoice Import Options

Before starting your import, you must select your import options:

Invoices Between

This is the date range to import. This filter is based on the invoice date for your invoice in Timesheet Portal.

Do not download invoices already marked as Exported in Timesheet Portal
Keep this option checked to ensure you do not accidentally download the same invoice twice into Sage. You may want to untick this sometimes if you wish to re-import an invoice into Sage, for example if you make a change to the invoice in Timesheet Portal after importing it into Sage and you wish to create a new invoice in Sage with the updated information.

Mark invoices exported in Timesheet Portal

Keep this option checked to automatically mark invoices as exported in Timesheet Portal. Using this option will also enter an entry “Exported into Sage by the Sage Connector” in your invoice notes, which can be seen by opening the invoice in Timesheet Portal. Under normal circumstances you should not untick this option, as doing so may result in duplicate invoices in Sage.

Update Timesheet Portal invoice numbers with Sage generated numbers
This option allows you to automatically update invoice numbers in Timesheet Portal with the ones generated by Sage after importing them. This will ensure that the invoice numbers in Timesheet Portal will always be identical to the ones in Sage. If you do not intend to generate invoices in Sage, apart from the ones imported with the Sage Connector, then you do not need this option, but it's advisable to keep it ticked in case you do create an invoice in Sage and forget to update the numbers when generating your invoices in Timesheet Portal.

When using this option, a note will be inserted into the Timesheet Portal invoice when the invoice number is updated, which states that the action has taken place and also records the original invoice number in Timesheeet Portal. It is also very important that, if you plan to email your invoices from Timesheet Portal, you only email them after importing into Sage, in case any invoice numbers are updated.

Cost centre info
Cost centre filtering can be used if you need to export from a single Timesheet Portal account into multiple Sage account ledger files. Within Timesheet Portal you can control invoicing such that different invoice templates and numbering sequences are used for different cost centres. Within the Sage Connector, you can then export each cost centre at a time, each linked to a different profile which relates to a different company file.
