Overview
The Timesheet Portal Sage Connector allows you integrate Timesheet Portal with your local Sage Accounts 50 application. As Sage is desktop-based, the Sage Connector is also a desktop application which communicates with Timesheet Portal over the internet to exchange data. The Sage Connector allows you to import invoices generated from Timesheet Portal into Sage, and automatically marks them as exported to ensure you don’t accidentally export them again. You can also use the Sage Connector to import your customers from Timesheet Portal into Sage. We currently support Sage Line 50 2014 - 2021 (v20 - v27).
Installation
Download & install Sage Connector using the links found in Settings->Integrated Apps->Sage 50. The links can be found in the buttons on top of the Sage 50 configuration page. Once you have downloaded the Sage Connector, run the Setup program and step through the wizard to complete the installation. To run the program, click on your Windows icon to browse your applications, and you will find it in the Anfold Software folder.
Enable Sage 3rd Party Integration on versions 2017 or below.
In order for the Timesheet Portal Connector to communicate with Sage 50 Accounts in version 2017 and below you will need to enable Sage 3rd Party Integration. To enable Sage 3rd Party Integration you will be required to enter a serial number and activation key into Sage. This can be found by clicking here. Be sure to check the serial number and activation key for your version of Sage.
Once you have your serial number and activation code, open Sage 50 Accounts, and click on Tools > Activation > Enable 3rd Party Integration.
Configuration
Sage Connector Profiles
The Sage Connector can be configured using multiple profiles. You should consider making use of profile if the following applies to you:
- You manage multiple Timesheet Portal accounts feeding each into their own Sage company file
- You have multiple Timesheet Portal accounts, and they all get exported into the same Sage company file
- You have a single Timesheet Portal account, and invoice per cost centre. Each cost centre needs its invoice exported into its own Sage company file.
If you have a single Timesheet Portal account and a single Sage 50 company file, then you are unlikely to require multiple profiles but you still need to create a default profile which contains all the information required by the Sage Connector.
Each profile can have the following configuration information associated with it, allowing you to switch your configuration easily without having to re-enter details each time:
- Sage company file path
- Timesheet Portal log in details
- Timesheet Portal cost centre
The following steps show you how to configure your default Sage Connector profile. If you would like to create multiple profiles on the configuration tab, click Add, enter the profile name, and follow the configuration steps for each additional profile.
Sage Configuration
Open the Sage Connector
Click the Configuration tab
Select the configuration method, Sage Company Path
Enter your Sage company path into the folder field provided.
To locate your Sage Company path, open Sage 50 Accounts and go to Help > About. Here you will see the Sage data directory, this is the company path of the company you are currently logged in to in Sage.
Click Test Sage Connection to test the connection between the Timesheet Portal Sage Connector and Sage 50 Accounts. You will be prompted to enter your Sage log in details in order to complete the test. If the connection was successful you will receive a message stating the connection was successful.
Timesheet Portal Configuration
In the Email field enter in the email address for the Timesheet Portal administrator who will be completing the exports
In the Password field enter your Timesheet Portal password
In the Account Domain field enter your company domain. This is the part of your login URL which appears before .timesheetportal.com
To test the link between the Timsheet Portal Sage Connector and Timesheet Portal, click Test Timesheet Portal Connection
Click Save Settings to save your configuration
General Import Notes Sage
Customer Codes
Timesheet Portal provides a Client Accounting Code field, which is used to identify a client in Sage. When importing invoices, the Sage Connector will check if the client code exists in Sage, and the import will fail if any client codes are not recognised. To check the customer code in Sage, go to the Customers screen, and look at the value for the customer in the A/C field, as per the screenshot below:
Please note: Any invoices for clients in Timesheet Portal with blank accounting codes cannot be imported into Sage, and will result in an error.
