Setting up and usage of multiple currency expense forms

Overview
Expense forms can be set up to allow a single currency within the expense form, or configured to allow different currencies for different entries in the expense form. A multiple currency expense form can have each entry in a separate currency and one currency set up as the reimbursable currency.

Enable multiple currency expense forms
To enable multiple currencies, go to Settings->Expenses, and turn on multiple currencies from the options there.

Entering expenses in different currencies
When creating your expense form, you must choose your reimbursable currency. This is the currency the expenses will all be converted to, as the system assumes the expense form submitter gets reimbursed for each expense form in a single currency.

To choose the currency for an individual entry, change the currency drop-down to the currency in which the expense was incurred in. If this currency is different to the expense form reimbursable currency, an additional 2 entry fields will show, so that the following 3 pieces of information is required from the user:

  • Expense amount. This is the amount in the currency in which the expense was incurred

  • Reimbursable amount. This is the converted amount in the reimbursable currency

  • Exchange rate. This is the exchange rate used for this transaction.

Calculation of exchange rates
If you enter the expense amount and then enter the reimbursable amount whilst the exchange rate field is blank, the exchange rate will be automatically calculated by the system. If instead you enter the expense amount, keep the reimbursable amount blank and then enter the exchange rate, the reimbursable currency will be automatically calculated.

Expense reports with multiple currencies
Any reports involving more than 1 currency will always split lines by currency so that currency amounts are never mixed. To produce a unified report, you can base your reports on the reimbursable currency and always ensure the same reimbursable currency is used. You can force the reimbursable currency to be set to a standard one from the Expense Settings page.
