How to export client invoices and self billing invoices to Xero

Introduction

Timesheet Portal can integrate directly with Xero, allowing you to export client invoices, self billing invoices and expenses with the click of a button.

The link between Timesheet Portal Invoices and Xero provides you with the ability to export sales and purchase invoices, with rules on what account codes and tracking categories to use. Invoices exported to Xero can be configured to be posted as Approved, Draft or submitted(Awaiting Approval). We can also synchronise tax rates with Xero so that whatever tax rates use on invoices within Timesheet Portal can be linked to equivalent tax rates in Xero.

Configuring your Xero export settings

To export invoices to Xero, you must first configure your Xero settings, explained below.

Go to the settings menu by clicking Settings > Client Invoicing > Export Settings

Click on the Invoice Export option drop-down menu, select Xero and click the Set button.

To establish the connection between Timesheet Portal and Xero click the Connect & Synchronise with Xero button. This will prompt you to enter your Xero login details, and you may also need to select which Xero organisation you wish to connect to.

Please note: an individual Timesheet Portal account can only connect with a single Xero account. If you have multiple Xero organisations, you will need to have multiple Timesheet Portal organisations set up.

Once Xero has been set you will now be able to set the item description as well as the export status

The item description will control what text is set as the invoice item's description when it is exported to Xero. This text can be different from the invoices within Timesheet Portal. To set the item description template enter the appropriate tags for information you require in each item. For each available tag, click the Show Tags button, as seen in step 3's image.

Export status can be set using the drop-down menu and selecting the appropriate status for how you would like your invoices to appear in Xero.

Now that the connection has been established, you will be able to link your accounting codes for invoiced time and invoiced expenses to your Xero account codes. First select the type of exporting option you will require for your Xero setup. For information on each export type and how to link each different export type click here.

Once you have linked your invoice accounting codes you will need to link your expenses accounting codes too. This can be done by using the invoiced expenses drop-down menu and selecting the relevant accounting code.

To link a tracking category, use the relevant tracking category drop-down menus. Each drop-down menu will have their own title relevant to the two tracking categories used on your Xero account. In the screenshot below, we can configure the mappings for Location and Sales Source tracking categories. For further information on tracking categories we recommend consulting your Xero help guide

The branding theme is the invoice theme used in Xero. By default, this will be listed as Standard. If you have any other branding themes, you can change it by selecting an alternative one with the drop-down menu.

Most of our users will use Timesheet Portal for emailing invoices rather than Xero. This is because we provide comprehensive recipient delivery rules, a completely bespoke invoice layout creation service, and we can also attach your timesheets and expenses to the invoices. If you use our system for emailing / printing your invoices, then you do not need to set the invoice branding.

Next you will need to map your Xero tax rates to your Timesheet Portal tax rates. This can be done by clicking Configure Xero Tax Rates. Once you have clicked configure, you will see all your Timesheet Portal and Xero tax rates. Link each Timesheet Portal tax rate to their equivalent in Xero and click Save Changes.
