Describes how to set up billing contacts who receive invoiced emails

Billing contacts are the contacts who receive invoices when emailed from Timesheet Portal. The system allows you to configure billing contacts on different levels so that you can send invoices to accounts payable departments as well as to individual contacts.

Invoice email cc addresses
The system allows you to send invoices to multiple email addresses. To do this go to System management in the left-hand menu, click Clients, select the client record you need and click on the pencil / edit icon at the end of their row. Click the Invoicing Options tab at the top. In the twelfth field down - Accounts payable email - enter the email addresses, separating each one with a comma. Regardless of whether a billing contact has been set or not, emailed invoices will always be sent to the addresses specified here.

Client & task billing contacts
You can specify a default billing contact for each client, which must be an approver contact for that client. As above, go to System management in the left-hand menu, click Clients, select the client record you need, and click on the pencil / edit icon at the end of their row. Click the Invoicing Options tab at the top. In the eleventh field - Billing contact - select a name to become the default billing contact. The default billing contact is used if no billing contact is specified for the task which an invoice relates to.

Set a billing contact for a particular task
Additionally, you can set a billing contact for a particular task. Do this by editing the task record. Go to to System management in the left-hand menu, click Tasks, click the pencil / edit icon of the required task which opens its Main Details tab. The fifth field down is titled Billing contact. From the drop-down menu, select the billing contact you require.

Note: If you set a billing contact for a task and for the client, the task contact will override the client one. However, any email addresses set in the Billing contact field for the client are always copied into the invoice emails.



Example Scenario
Your client ACME Corporation requires that all invoices are always sent to [email protected]. You have two active project running with them, with contacts Joe Bloggs and Sarah Smith. Joe Bloggs wants all invoices emailed to him and also sent to [email protected]. Sarah Smith does not require invoices emailed to her, but invoices must go to the accounts email address. For this scenario, you will edit the client record and set the Invoice Email CC Addresses field to [email protected], and set the Billing contact to None. For Joe Bloggs' task, you set him up as the Billing Contact, but for Sarah's task, you leave the Billing contact as none.
